Ability to import journal transactions

Go to: General Ledger menu > Import Journal Transactions.

A new function allowing you to import journal entries from a tab-delimited file has been added to VisionVPM. This may be useful when, for example, you have chosen to use a third-party accounting/payroll system and you want to import financial information into VisionVPM.

Please note the following:

• The tab-delimited file must be in the following format:
  • ID
  • Code
  • Date
  • Description
  • GL Account Code
  • Item Description
  • Department
  • Debit Amount
  • Credit Amount
  • GST Amount
• There can be more than one transaction per file with the transactions items grouped together by the ID field.
• The total debit and credit amounts must be balanced.

To import a file:

1. From the GL Journal Import window, select Select File.
2. Locate and open the tab-delimited file.

   

3. Click Create Transaction(s).
   • VisionVPM then creates the transactions.

There are several items that will stop the import from occurring. The following checks are made after importing the file:

• Each line has a correct General Ledger account code
• Each line has a correct Department code.
• Each line has a date
• Each line's date is not in a closed period
• The debit and credit amounts for a line are both NOT populated
• The debit and credit amounts for a line are not 0.00
• The total debits and credits for the transaction are balanced. That is, total debits = total credits.

If any of the above items are found, VisionVPM will display a message similar to the one below:

You can then correct the errors in the file by clicking Open / Fix File and then import the file again.

To ensure you are importing transactions with correct dates, when you click Create Transactions, and VisionVPM finds a date which is three months or more in the future VisionVPM will display the following prompt:

If the dates are correct, click Yes.

If the dates are incorrect click No, and you should then correct these dates.
