Automatic credit card fee - per card type

Go to: Clients menu > Client Details > select client > Invoice > enter invoice details > Payment.

You can now apply a credit card fee to specific Credit Card Types, which will be automatically applied when making payments with those Credit Card types.
This allows you to recoup some of the increasing merchant fees that are charged by credit card providers.

To use this functionality you must set up the following in VisionVPM:

  1. Credit Card Fee on Credit Card Types
  2. General Ledger account for the Credit Card Fees
  3. General Ledger account in Account Defaults.

Credit Card Fee on Credit Card Types

To set the fee for a particular credit card:

  1. Go to: Maintenance menu > Lookup Lists > Client Related Lists > EFTPOS / Credit Card Types.
  2. From the Credit Card List window, click Insert.
  3. In the Credit Card Name field, enter the type of credit card.
  4. In the CC Fee % field, enter the fee as a percentage .
  5. Click the Default Card Type check box to mark this credit card type as the default card type which will be automatically displayed when you select the payment type of EFTPOS. This would normally be set for your EFTPOS card type.

General Ledger account for the Credit Card Fees

  1. Go to: General Ledger menu > Chart of Accounts.
  2. From the GL Accounts List window, click Insert.
  3. Enter the Account Code and Description.
  4. This should be an Other Income account.
  5. Click Save.

You can now enter the newly created general ledger code in Maintenance > Account Defaults.

Now, when you make an EFTPOS payment and select a Credit Card with an attached fee, 5 new items will appear on the Client Payment window:

  1. The amount of the fee will be displayed.
  2. The calculated fee on the amount being paid will be displayed in the Credit Card Fee field.
  3. A Remove Fee button will be displayed. When clicked, VisionVPM will remove the credit card fee and the invoice for the credit card fee.
  4. A Total EFTPOS Paid field will be displayed with the total amount to be paid calculated as the EFTPOS Amount plus the Credit Card Fee.
  5. An invoice for the credit card fee will be created and automatically allocated against the payment.

Please note, if you do not enter the general ledger account in Account Defaults, VisionVPM will display a message, similar to the one below, when you select a credit card type with an attached fee.

Please note, VisionVPM will now lock all credit card payments containing a fee. This is so that the payment amount or type cannot be edited as the fee invoice will not change.

You are however, still able to transfer and/or reverse credit card payments containing fees. When you transfer or reverse a fee, you will receive a message similar to those below.

You should then either reverse or transfer the credit card fee invoice as well.
